When you edit a paper with other authors, it is called collaboration. If you’ve never experienced affiliate writing before, you’re in for a real treat. While the original power of the power has been around for a while, there are some nice improvements in the functions built into Office 2016. In Office 2016 applications, such as Word, Excel and PowerPoint, the collaboration happens in real time , while before it was asynchronous and not transparent. For people who work together to get things done, this can be a very effective collaboration tool. Tip: If you are a manager, teach your team how to use collaborative writing and make it a required practice. Once the regular learning process is successful, you will find that your product is more effective. You will be an inspiration to other departments, get the approval of your boss and other team leaders! In How to Prepare Papers with Other Writers, I’ll walk you through the steps and explain what it’s like to work hard on the same paper with other people in real time. We’ll be using Microsoft Word for this walkthrough, but the steps are the same for Excel and PowerPoint. First you have to share the document. It is very easy using the “Delete” button which is right in Microsoft Word 2016 (top right). It will store your file in the cloud and invite people to work on the file. It just means it’s stored somewhere like SharePoint or OneDrive… not on your computer. Collaboration allows multiple users to edit a file at the same time. If someone else is editing the document while it’s open, you’ll see a small number above the Delete button showing how many people are currently collaborating (including yourself!) preventing action. When another author is editing a paragraph, that section will be locked (uneditable) to anyone except the current user. The little icon will show the name of the other author, and if you are using Word 2016 or Word Online, you will see their changes as they write, in real time. Functionality: Chat while working You can use Skype for Business during collaboration to discuss your ideas and edits without leaving Word. Go to the Share section, and you can easily send an IM to the authors while you are working on the paper. For example, when I was working with my colleague Jon Hood, we both started editing a draft of this document to take some screenshots. But we need to adjust our movements to get better screenshots. The difference between Word 2016, Word 2013, and Word Online You can prepare a document at the same time with other writers in all 3 you can. But Word 2013 will not do that. Be real in the moment like no other. Co-authoring notices are useful but few and far between, edits are few and far between, and the number of editors is buried in the bottom left of the status bar; There is no share button. Word Online is great for general editing, and it’s great for occasional collaboration, but it lacks the advanced formatting features you’ll need to create more sophisticated documents. If you have to choose between Word 2013 and Word Online for collaboration, you can turn to Word Online if you can forget interesting things like TOC and full of table layouts. Word 2016 has good tools for collaborative writing, with a share button at the top right, a share area that provides easy access to writers, and occasional editing, all in a full-featured software. Show and Tell For those of you who like screenshots, this section is for you! The red writer indicated to me that another writer is currently working on this section. Hovering over the red bar showed me the name. (Since there are only 2 of us in this document, I assume that it is John, but you can have more authors at the same time. ) And hover over Jon’s name, I see the options to contact him through Skype for Business are come. When I click the button to IM with Jon, Skype pops up with the appropriate word context. Chatting about our changes is easy! It’s hard to see that in a still image, but based on our conversation, John is currently adding a new third paragraph. See the red bar? I see the words on the screen as he writes them, in real time.
