If you’ve ever tried editing a portable document file or PDF, you’ve almost certainly found it to be a lot more troublesome than editing a Microsoft Office document. That’s because the PDF format shouldn’t be edited at all. When Adobe introduced the PDF specification in 1993, the whole idea was that you could work with PDF documents on the screen just like you would with paper documents. Most other PDF editors do an even worse job of font matching, and many don’t even bother trying to match the surrounding fonts when inserting text. The only app I’ve found that does a good job with font matching is macOS (and iOS) PDF Expert (opens in a new window) ($79.99). When I insert text in the PDF, the application uses fonts that are already embedded in the PDF file, so the result looks smooth and my changes cannot be detected.
The only Windows-based PDF editors I’ve found that come close to Apple PDF Expert are EaseUS PDF Editor ($79) and PDFelement 8 ($69.99). Like PDF Expert, when you change or insert text, both apps try to use fonts that are already embedded in the PDF, but in at least one PDF I tested, when I tried to insert text between normal lowercase words , both application formats. The text is added in lowercase, it doesn’t provide a menu option that lets me choose lowercase. It could have been worse. For example, when I try to add text to the same file in Qoppa Software’s PDF Studio Pro 2021 (opens in a new window), it converts the entire page to uppercase. You may need to experiment to find the application that works best for you.

No matter which PDF editor you use, don’t expect to be as easy to use as a word processor. Some PDF editing applications claim to allow you to edit in Microsoft Word as seamlessly as possible.
